Who is the data controller?
The data controller is the company that operates the Opti2clean Solutions trade name (2Clean Solutions SRL (BV), Beeldhouwersstraat 31, 9040 Ghent, enterprise number 1042.918.066). For any question about privacy, write to us at contact@opti2clean.be.
What data do we collect?
When you ask for a quote or contact us: your name, email address, phone number (optional), company name and VAT number if relevant, the address or postcode of the job, the description of your request and any photos you choose to add.
We never ask for sensitive data. Please don’t photograph people, documents or other personal information.
For what purpose, and on what legal basis?
To deal with your request, draw up a quote and stay in touch with you. The legal basis is the steps you ask us to take before a contract is concluded (Art. 6(1)(b) GDPR).
If you become a client, we process the data needed to perform the contract and to meet our legal obligations, such as bookkeeping (Art. 6(1)(b) and 6(1)(c) GDPR).
The form is protected against abuse such as spam, on the basis of our legitimate interest (Art. 6(1)(f) GDPR).
How long do we keep it?
Requests that don’t lead to a job: up to 12 months after our last contact.
Photos sent with a request: deleted once the quote is ready, and no later than 6 months, unless they are needed to carry out the job.
Client data: for as long as we work together, then for as long as the law requires (accounting rules, for instance).
Who receives your data?
Only the service providers we need to run the website and our communications, namely our hosting and email providers: Vercel (website hosting) and Google Workspace (email). They process the data solely on our instructions.
We never sell data and never use it for advertising by third parties.
Transfers outside the European Economic Area: our providers may process data outside the EEA, but only with appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses.
Job applications
When you apply through our website, we process the information you enter (name, contact details, town, availability, experience, languages, driving licence) and your CV if you attach one. We use it solely to assess your application and contact you, with your consent and as a step towards a possible employment contract (Art. 6(1)(a) and 6(1)(b) GDPR).
We keep applications for up to 12 months, so that we can also get in touch about a later vacancy. If you join us, the relevant data moves to your personnel file. You can ask us at any time to delete your application sooner, via contact@opti2clean.be.
Your rights
You may access, correct or delete your data, restrict or object to its processing, and ask for it to be transferred to you. To exercise these rights, email contact@opti2clean.be. We reply within one month.
Providing data is not compulsory, but without contact details we cannot answer your request.
We make no decisions based solely on automated processing.
Making a complaint
If you’re unhappy with how we handle your data, please tell us first. You may also complain to the Data Protection Authority (DPA), Rue de la Presse/Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, www.dataprotectionauthority.be.
